Job Description
Position Summary
The Assistant Office Administrator III reports to the School Main Office and works closely with all members, staff, parents, guardians, and learners by providing information and support when required. The Assistant Office Admin III role is highly visible and varied, providing a comprehensive and confidential high-level administrative role in support of the school's mission and vision.
Key Responsibilities and Duties
Taking oral dictation and processing word and data documents.
Managing the e-office and ensuring the security of office records, documents, and equipment.
Maintaining an up-to-date filing system and operating various office equipment.
Managing office protocol and handling telephone calls and appointments.
Managing office petty cash and supervising office cleanliness.
Undertaking any other office administrative service duties as assigned.
Requirements for Appointment
Kenya Certificate of Secondary Education (KCSE) with a mean grade C- (minus) and at least C (plain) in English or Kiswahili Language or equivalent.
Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC); OR Business Education Single and Group Certificates (BES & GC) from KNEC in the following subjects:
Typewriting III (50 w.p.m.) / Computerised Document Processing III
Shorthand II (80 w.p.m.)
Business English II / Communications I
Office Practice II
Secretarial Duties II
Commerce II
Office Management III / Office Administration and Management III
Certificate in computer applications from a recognized institution.
Demonstrated merit and ability as reflected in work performance and results.
Skills and Competencies
Strong planning and prioritization skills with a high level of confidentiality.
Ability to multi-task and maturity to handle a range of situations.
Outstanding oral and written English communication skills.
Strong personality, team player, and high level of integrity.
Excellent interpersonal skills, meticulous, and thorough.
Understanding of corporate governance protocol.
Highly developed organizational skills and ability to work under tight deadlines.
