Job Description
The United Nations Office for the Coordination of Humanitarian Affairs (OCHA) is seeking an Administrative Intern to support its operations in Nairobi. OCHA is a United Nations body established to strengthen the international response to complex emergencies and natural disasters. This internship is designed to enhance the intern's skills in administration and management within a humanitarian context.
Duties and Responsibilities
Documentation: Support in day-to-day filing and maintenance of official documents.
Staff Support: Assist staff in processing requests for equipment, supplies, extension of UN IDs, and transport/hotel bookings for incoming staff and missions.
Financial Tracking: Prepare and regularly update spreadsheets on cost recoveries for private telephone calls and personal usage of official vehicles; support the recovery process.
Meeting Coordination: Assist staff and the front office with organizing meetings by booking venues and catering services.
Secretarial Support: Take notes and prepare minutes during Administrative Team meetings and follow up on identified action points.
Other Tasks: Perform any other duties that will enhance the skills of the intern in administration and management of the Unit.
Qualifications and Special Skills
Education: Currently enrolled in a graduate degree programme at a recognized institution in Business Administration, Public Administration, Human Resources, Accounting, or a related field.
Alternative Education: Be enrolled in the final academic year of a first university degree program (minimum Bachelor's level or equivalent); or have graduated with a university degree.
Recency: Completed University studies not more than a year at the time of applying.
