AGL (Africa Global Logistics) is seeking a qualified Accounts Assistant (M/F) to join their team in Nairobi, Kenya. The successful candidate will be responsible for tracking, validating, booking, and managing transporter and supplier invoices, compiling reports, and assisting with dispute resolutions and vendor account creation.
Key Responsibilities
Receipt and Tracking Invoices
Receive supplier invoices from the front desk.
Sort and confirm via email all received invoices from the front desk.
Verify that invoices contain all required details, such as tax receipts, buyer PIN, and a current-dated LPO.
Ensure all invoices have required supporting documents attached (LPO, Contract, delivery note).
Track received supplier invoices within 24 hours of receipt.
Tracking Reports
Prepare and share the daily tracking report daily, ensuring it contains only invoices tracked for that day.
Ensure all dispatched invoices have been tracked properly to the correct department.
Prepare and share the weekly tracking report at the beginning of each week.
Assist in cleaning up the tracking report and filing all dispatch reports in the specified file.
Booking of Invoices
Receive tagging charge invoices from approvers.
Book approved tagging charges within 1 day.
Forward booked tagging charge invoices to filing with a clear dispatch.
Dispute Follow-ups
Communicate all disputes arising from non-compliant invoices to suppliers.
Keep record of all disputes being reviewed at any one time.
Escalate issues to account handlers and supervisors in case of non-response from suppliers.
Ensure timely booking of disputed invoices to avoid loss on VAT.
Relieving and Account Creation
Act as a reliever for transporter invoices booking and urgent payments where necessary.
Follow up on new suppliers who require account creation.
Complete account creation forms for transporters who have undergone compliance.
Other Matters
Undertake any other responsibilities as may be assigned by the Financial Controller or Senior Management.
Profile & Qualifications
Education: A Business Degree.
Professional Qualifications: CPA (K), ACCA, CFA, or equivalent professional certification.
Experience: Minimum of 3 years of experience in a similar accounting role.
