The Warehouse Assistant (National) role is crucial for ensuring efficient store and supplies management within the Church World Service (CWS) RSC Africa office in Nairobi. This role is responsible for the meticulous handling, tracking, storage, and distribution of office equipment and supplies, ensuring compliance with organizational policies, and supporting general operational needs.
Responsibilities
1. Store and Supplies Management (60%)
- Receive equipment and supplies destined for the store, cross-checking purchase orders (POs) and delivery notes to verify that the correct items, quantities, and quality have been supplied to RSC Africa.
- Maintain accurate records of the movement of office supplies and equipment to and from the stores.
- Receive requisitions from staff for stationery and other supplies, ensuring timely distribution every Wednesday or as required.
- Issue supplies for each new employee and recover the supplies when staff members leave RSC Africa.
- Maintain ample stock levels in the stores by presenting timely purchase requests for supplies that are at re-order levels through liaising with the Property Supervisor or the Procurement Officer.
- Ensure that stocktaking is carried out on a quarterly basis in conjunction with the Senior Accountant.
- Ensure that the supplies in the store are arranged and labeled properly to facilitate easy retrieval of items and accurate stocktaking.
- Run, update, and share a weekly stock report with the Property Supervisor every Wednesday for stock level tracking purposes.
- Ensure that the store is clean, properly arranged, and stock is properly secured.
2. Compliance (20%)
- Monitor the usable life span of expiring stock and inform the Property Supervisor of the condition of these stock items.
- Determine the appropriate and efficient methods of storing various supplies in the store.
- Maintain and monitor stock levels accurately in the Sylogist Accounting System.
- Ensure that all store policies, procedures, and controls are consistently followed.
3. Collaboration/Engagement (15%)
- Pack supplies and equipment required for Field Trips and receive the equipment upon return, ensuring all items are accounted for and returned in good working condition.
- Assist in carrying out general clerical duties such as photocopying.
- Assist in the banking of checks and cash, and act as a back-up to the drivers when needed.
4. Additional Responsibilities (5%)
- Perform any other duties assigned in order to improve the overall operations of the RSC Africa office.
Qualifications and Experience
- Education: BA/BSc/HND qualification.
- Experience: A minimum of Four (4) years of general work experience is required.
- Specific Experience: A minimum of One (1) year of experience specifically in stores management and stock recording.
- Sector Preference: Experience in the Non-Governmental sector is preferred.
