The Operations and Procurement Officer contributes to the VVOB’s ambition of promoting quality education by taking initiative to provide essential quality administrative and logistical support to the African Centre for School Leadership (ACSL) project, and other projects on a need basis. This role involves providing technical guidance on operations and procurement both within VVOB and externally.
Position in the Organisation
- The Operations and Procurement Officer reports directly to the Operations Manager.
- You are part of and work closely together with members of the operations team in VVOB Kenya and the African Centre for School Leadership (ACSL) in particular.
Result Areas of this Position
1. Administrative and Logistical Support
- Provide administrative and logistical support to the ACSL project and other projects on a need basis, including procurement of services.
- Handle travel arrangements for field activities.
- Arrange meeting venues and training materials.
- Communicate progress to relevant team members and external partners.
2. Financial Administration and Reporting
- Prepare budget and fund requests for project training activities together with the team and address them to the Operations Manager.
- Prepare timely payment requests for suppliers and partners.
- Prepare purchase orders and workshop budgets.
- Submit workshop reports and any other required project reports.
3. Project Administration and Compliance
- Ensure good project administration, including the preparation of invitation letters.
- Manage project materials and supplies.
- Maintain robust file management (E-folders on MS TEAMS and SharePoint) and indicate areas for improvement where relevant.
- Support the procurement, logistics and administration of workshops and capacity-building activities for external partners.
- Comply strictly with VVOB’s internal procurement, financial, and related policies, and guidelines in the execution of your tasks.
4. Monitoring and Program Participation
- Maintain a tracker of key action points agreed upon at project meetings and disseminate the progress of implementation.
- Participate in the ACSL project throughout the Continuous Professional Development (CPD) process.
- Engage in different Teacher Professional Development (TPD) models such as field work for classroom observation and teacher coaching, and reporting and documenting on reflection results.
Qualifications
- You must hold a BA/BSc/HND qualification.
