Our client, an on-demand Courier Service that delivers products ordered through their mobile app, is seeking to recruit a talented and passionate Office Manager. This role is crucial for being the Culture Ambassador and organizing/coordinating administrative duties and office procedures across the Kenya Offices located in Nairobi and Mombasa. The primary goal is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety, while ensuring the smooth running of the office and helping to improve company procedures and day-to-day operations.
Key Responsibilities
The Office Manager will be responsible for:
- Organizing office operations and procedures.
- Coordinating with the IT department on all office equipment.
- Liaising with facility management vendors, including cleaning, landlord, catering, and security services.
- Providing support to the facilities coordinator for maintenance vendor escalation.
- Ensuring correct vendor accountability.
- Giving support to in-house events, celebrations, and conferences.
- Detecting and fixing office-related issues.
- Ensuring a great working environment, following sustainable practices.
- Ensuring office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office standards.
- Keeping the office organized and clean with the cleaning staff support.
- Overseeing and supporting all administrative duties in the office and ensuring that the office is operating smoothly.
- Onboarding newbies and ensuring their support during their first days.
- Managing office supplies inventory and placing orders as necessary.
- Identifying opportunities for process and office management improvements.
- Managing reception and guests to the office.
- Developing and maintaining positive relationships with employees and the HR team in HQ.
- Being the first point of contact for employees for onboarding and HR-related policies and processes.
Required Qualifications and Experience
Candidates should possess:
- 2/3 years’ experience as an Office Manager.
- BA/BSc/HND, Diploma, or other relevant qualifications.
- Attention to detail and strong problem-solving skills.
- Strong organizational and planning skills, particularly in a fast-paced environment.
- Excellent time management skills and the ability to multi-task and prioritise work.
- Written and verbal communication skills in both Kiswahili and English.
- A creative mind with an ability to suggest improvements.
- Proficiency in the full suite of Google Drive applications, with the ability to quickly adapt to working with new systems.
- A proactive and ‘can-do’ work attitude.
