The Head of Operations is responsible for ensuring the efficient performance of all departments within the company. This role acts as a facilitator for employees to achieve organizational goals while overseeing inventory management, procurement, delivery logistics, and the maintenance of vehicles, equipment, and office premises.
Core Duties and Responsibilities
Delivery Logistics: Manage delivery logistics in coordination with the sales departments to ensure vital operations run smoothly.
Procurement: Oversee local purchases and manage creditor balances for end-of-month settlements.
Stock Management: Consult with the sales team and warehouse supervisor to ensure adequate supplies of re-packed stocks and re-packaging materials.
Asset Maintenance: Responsible for the repair and procurement of spare parts for company automobiles, equipment, and machines.
Premises Management: Ensure warehouse and office premises are in good condition, utilities are functional, and supplies are adequate.
Budgeting: Compile fortnightly expense budgets based on staff requisitions and operational requirements.
Personnel Management: Assist in the management of casual staff and lead the team through strategic training and mentorship.
Process Optimization: Reduce delivery costs and transit times through improved route planning.
Compliance: Uphold safety standards, ensuring all teams adhere to OSHA and environmental laws.
Performance Analysis: Analyze data related to delivery speed, order accuracy, and operational costs.
External Representation: Represent the company in meetings with state and local government agencies.
Special Projects: Execute specific business projects and other tasks as needed to support business growth.
Job Specifications and Qualifications
A Bachelor’s Degree in a business-related course from a recognized university.
Basic knowledge of accounting or procurement is considered an advantage.
At least 5 years of relevant experience in a busy SME environment, specifically in automobile maintenance, logistics, and/or procurement management.
Possession of a clean and valid motor vehicle driving license.
