Filing Clerk

Role Overview

We are looking to recruit a Filing Clerk to join our team in Mombasa. The successful candidate will be responsible for maintaining operational files, handling both digital and physical archiving, keeping tracking logs, managing stationery, and supporting administrative workflows.

Key Responsibilities

• Filing and Logging: Receive operational files from the manifest team, maintain logs of received files, and ensure they are sequentially organized on shelves.
• Gate Pass Processing: Receive and verify gate passes, ensuring all proper supporting documents are attached before filing.
• Digital and Physical Archiving: Digitally archive gate passes into the TEMBO system following laid-down procedures and physically archive them in relevant files.
• Interchange Management: Receive, verify, and log Empty transporter interchanges. Promptly alert management about any interchange charges that could expose the company to depot fees.
• Stationery Management: Safeguard company stationery, track stock levels (logs of in/out), and make timely requests for replenishment.
• Audit and Log Support: Assist during audit seasons by procuring files, maintaining file transfer logs, and helping staff clear IOUs as requested.
• General Duties: Ensure KPA invoices received from the operations team are filed properly, and perform any other duties advised by management.

Candidate Profile & Requirements

• Diploma in Business Administration, Records Management, or a related field.
• Knowledge and hands-on experience with the TEMBO archiving system.
• At least 2 years of experience in a similar role.
