GetNinja Inc. is seeking a highly organized and proactive Executive Assistant to support its senior management. This role is crucial for managing complex schedules, coordinating meetings, streamlining communication, and ensuring executives can focus effectively on strategic, high-priority goals. This is a remote position operating on the Eastern Standard Timezone (EST) working schedule: 9 AM – 6 PM with a 1-hour break.
The salary offered is competitive (KSh 50,000 - KSh 100,000 per month) and will be based on the candidate’s experience, qualifications, and prevailing market standards in Kenya.
Key Responsibilities:
- Manage calendars, travel arrangements, and meeting logistics.
- Prepare and organize critical documents, reports, and presentations.
- Handle calls, emails, and correspondence on behalf of executives.
- Coordinate and schedule meetings, accurately record minutes, and diligently follow up on action items.
- Maintain strict confidentiality of sensitive corporate information.
- Support various projects through research, coordination, and data management.
- Liaise effectively with internal teams and external stakeholders.
- Perform general administrative duties as required.
Qualifications and Experience:
Mandatory Requirements:
- At least 2 years of proven professional experience as an Executive Assistant, Personal Assistant, or in a comparable administrative role.
- Demonstrably strong organizational and time-management skills, coupled with the ability to multitask efficiently.
- Excellent proficiency in both written and spoken English communication.
- Expertise in MS Office/Google Workspace and working knowledge of various scheduling tools.
- High level of professionalism, discretion, and acute attention to detail.
- Ability to work autonomously and manage shifting priorities effectively.
- Relevant educational qualification (such as BA/BSc/HND, Diploma, KCSE, MBA/MSc/MA, NCE, or Other).
Preferred (but not required):
- Bachelor’s degree in Business Administration or a university degree in a related field.
- Experience providing support to C-level executives.
Technical Requirements (Remote Work):
Candidates must ensure they meet the following technical specifications to facilitate high-quality remote collaboration:
- USB Headset with Noise Cancellation feature.
- Working Webcam.
- Computer meeting minimum specifications (at least 1.8 GHz processor and 4GB RAM).
- Main Internet Service Speed: at least 25 Mbps (cable connection preferred).
- Backup Internet Service Speed: at least 10 Mbps.
