Job Description
The Embassy of Sweden in Nairobi represents Sweden in Kenya and also represents Sweden at the United Nations Environment Programme (UNEP) and the United Nations Human Settlements Programme (UN-HABITAT). The Embassy is seeking a professional and detail-oriented Administrator to provide critical support to the Head of Cooperation and the wider team.
Role Overview
This role involves a variety of tasks ranging from scheduling and logistics to communication and archive management. The work environment is dynamic and characterized by a high tempo, requiring a professional who is flexible, detail-oriented, and capable of adjusting quickly to changing directives.
Key Roles & Responsibilities
Provide administrative support to the Head of Cooperation, including scheduling, correspondence, travel arrangements, and logistics.
Support in planning and organising meetings, workshops, and events with a strong focus on details and time management.
Manage the Head of Cooperation's calendar, meeting agendas, and document preparation.
Preparation of Section's DHL dispatch.
Responsible for maintaining the archive in order.
Assisting the team with travel logistics.
Ensure high-quality, professional communication by editing and proofreading materials, managing social media presence for the Head of Cooperation and the team, and maintaining effective internal and external communication channels.
Monitor and follow up on tasks, ensuring timelines are met.
Perform other duties as assigned by the Head of Cooperation to ensure effective operations.
Cooperate with other administrative functions within the Embassy and with external parties.
Skills, Qualifications & Experience
University degree or diploma in administration or another field related to the position.
Minimum of three (3) years of experience in administrative work.
Experience working as an administrator, secretary, or personal assistant, specifically in a high-paced context with short lead times.
Good writing skills and strong attention to detail.
Very good organisational and time management skills and a commitment to on-time delivery.
Strong communication skills with a dynamic and proactive approach to work.
Fluent in English, both written and spoken.
Strong team working skills with an understanding of the need to build and maintain contacts and networks.
Punctual and responsible.
Proficiency in basic MS Office programs: Word, Outlook, Excel, and social media platforms (Facebook, Instagram, LinkedIn, X, etc.).
