This role, based in the Financial Control Office, is crucial for maintaining the treasury accounting function at Aga Khan University Hospital, Nairobi (AKUH, N.). The Accounts Assistant ensures the efficient use of available cash flow, accurate maintenance of bank reconciliations, and proper management of investments. The role also involves assisting the Finance Manager with preparations for internal and external audits.
Key Responsibilities
Bank Reconciliations:
- Ensure accurate and timely preparation of bank reconciliations, submitted for review as per Key Performance Indicators (KPIs).
- Ensure all reconciling items are followed up and closed before the following month's closing.
Recording of Cash/Direct Transfers:
- Daily download direct banking receipts (incoming payments through bank transfers) and share them with Accounts Receivables (Debtors).
- Accurately and promptly record and reconcile Direct payment transactions in the MT system.
- Prepare reconciliations for any unrecorded miscellaneous transactions in the GL control accounts.
- Perform regular reconciliations of Direct banking control accounts to ensure accuracy and identify discrepancies.
- Investigate and resolve any variances in a timely manner, collaborating with relevant departments or external parties.
- Follow up with debtors on any unreceipted direct payments resulting from the daily banking reports; escalate directs over a week old to the Treasury coordinator and Finance manager as per the escalation matrix.
- Prepare reports summarizing reconciliation results for management review.
- Ensure the Meditech facility-wide report is fully accounted for weekly.
- Liaise with accounts receivable to adequately plan for cash collections and cash flow planning.
Audits:
- Prepare audit schedules and ensure they are ready for annual audits.
- Retrieve files for review by auditors as requested by the audit team.
- Respond to audit queries raised by the auditors during the field audit.
Payment Processing:
- Process and initiate payments (Cheque writing) including wire transfers, transactions, and checks.
- Verify accuracy of payment documentation and ensure compliance with internal policies.
- Ensure all payments are approved as per the payment approval matrix.
- Assist the treasury accountant in Letter of Credit (LC) documents preparation.
- Negotiate for spot deals.
Other Duties:
- Fixed Deposits (FDR): Facilitate the renewal/liquidation of matured FDRs and posting of interest provisions.
- Daily update the currency files in the People Soft Financials system.
- End Month GL Closing: Assist the Finance Manager in active participation in end-month closing activities relating to Treasury by ensuring all Journal Vouchers (JVs) and transactions are accurately recorded by the closure of the month.
Qualifications and Skills Requirements
Education & Experience:
- Bachelor’s degree in Accounting/Finance.
- Professional training: ACCA / CPA II.
- More than 3 years of professional experience.
Technical & Soft Skills:
- Excellent computer accounting skills.
- Technical skills in accounting applications (e.g., People Soft) and MS Excel.
- Excellent analytical skills.
- Excellent organizational, communication, and interpersonal skills.
